Job Posting: Executive Assistant - Admin

The Minneapolis Heart Institute Foundation® (MHIF) and The Minneapolis Heart Institute are seeking an experienced Healthcare Executive Assistant to support, in a dual capacity, high level stakeholders from the Foundation as well as the Minneapolis Heart Institute, on the campus of Abbott Northwestern Hospital.

This is a highly unique role, and the incumbent and will provide administrative support, including scheduling meetings, preparing documents and presentations, handling incoming mail, processing invoices and working on administrative projects assigned to support the Fellowship Program at MHI as well as Friends of the Foundation at MHIF.

Essential Functions

Administrative Responsibilities

  • Sending timely communications, preparing documents, and mailings. 
  • Answering incoming phone calls and emails with a high degree of professionalism.
  • Navigate complex schedules to coordinate meetings, conferences, presentations, and travel arrangements for high level external stakeholders.
  • Maintain client records.
  • Accurately perform billing tasks and compile data.
  • Maintains databases and excel spreadsheets.
  • Generate reports as needed.


Department Support

  • Support leader schedules and calendars as needed.
  • May schedule patient / client visits.
  • May perform receptionist and check-in function.
  • May order supplies.
  • May have responsibility for assigned projects.
  • May write correspondence to internal customers, or to clients or business associates.
  • May manage provider schedules, expenses and/or education tracking.
  • May manage department timecards.
  • May manage department website.
  • Other duties as assigned.


Qualifications

Must be 18 years of age with education and/or experience needed to meet required functional competencies as listed on the job description. 

Required Education and Experience

  • High School diploma or GED.
  • Minimum of three years of administrative experience in Healthcare or Nonprofit Administration.
  • Proficient in Microsoft Office, including Word, Excel, PowerPoint, and Outlook.
  • Strong attention to detail.
  • Ability to organize work and balance multiple priorities.
  • Exceptional interpersonal skills with experience interacting with high-profile donors, board members, and medical professionals with professionalism, patience, discretion, and emotional intelligence.
  • Experience managing sensitive donor and patient information in compliance with HIPPA and organizational privacy policies; maintains the highest level of confidentiality.

Total Rewards

The compensation range for this role takes into consideration a variety of factors including but not limited to skill sets; experience and training; licensure and certifications; internal equity; and other business and organizational needs. It is not typical for an individual to be hired at or near the top of the range for their role and compensation decisions are determined on the facts and circumstances of each case. The current range is $28 per hour to $35 per hour DOQ.

In addition to salary, MHIF also offers a comprehensive benefits package for employees working 20 hours per week or more including medical, dental, life, and short- and long-term disability insurance, employer contributions toward a health savings account (if applicable), 401(k) with employer match and contribution, paid time off, paid parental leave, tuition reimbursement, paid volunteer time, and 10 paid holidays annually.
